Dental Office Receptionist/Insurance Specialist

Our Front Office Dental Administration position requires above average organizational skills, attention to detail, strong 5-Star client service skills, and excellent verbal and written communication skills. Experience in Internet applications, Word, and Dentrix needed. Handling basic releases, understanding HIPPA, and dental terminology encompasses the range of medical background necessary. This is an opportunity to perform every skill related to administration in a non-traditional medical office, from scheduling, billing and collections, insurance verification, and composing correspondence and communicating with other professionals or with patients to name a few. Must be able to prepare a literate and grammatically correct business letter and to document records in real time. Articulate communication with professional grammar is essential. The successful candidate can prioritize and multi-task while meeting deadlines. This job does involve some financial information and sensitive personal information – there is a background check.
Responsibilities include:
- Greet and welcome patients and business partners in a warm way to portray a positive impression.
- Checking patients in and ensuring their records are up to date.
- Scheduling patient appointments with Dentrix to meet and exceed daily, monthly, and yearly production goals.
- Verifying dental insurance is current before patient visits.
- Confirming appointments and following up on missed appointments.
- Maintaining the appearance of the office.
- Ensure any clinical approvals, forms and/or documentation is properly documented, including medical clearances, consent forms and HIPAA acknowledgements.
- Manage front office duties, including answering phones, checking office mail/email, communicating with patients/insurance companies in a professional manner.
- Post insurance and patient payments and process accounts receivables.
- Mailing billing statements to patients and processing collection accounts.
- Provide general administrative support.
- Review treatment plan fees and payment options with patients
- Partner with the providers and team to optimize office potential.
- Ensure scheduled patients includes proper treatment for daily scheduled appointments.
- Schedule and monitor doctor’s continuing education courses.
- Assisting hygiene with patient charting and turning over rooms.
- Other duties as requested.
Patient Flow Management
- Monitor daily schedule and ensure the patients are checked in and that they receive an outstanding patient experience
- Patient Finance Administration & Collections
- Ensure adherence to compliance and documentation guidelines as it pertains to patient finance and patient scheduling.
- Manage the administrative elements of all aspects of patient finance.
Work Environment:
- Hands-on, administrative setting; must be able to perform all administrative functions and ensure that the office is delivering the highest quality in care.

Dental Assistant

Position Summary:
The dental assistant works under a dentist’s supervision to prepare equipment that will be used in dentistry procedures, to ready patients for these procedures, and to help the dentist during these procedures by passing instruments, holding the suction catheter in place, and generally anticipating the dentist’s needs. Some Other responsibilities may include sophisticated functions such as removing sutures, processing x-rays and taking the oral impressions used to fit crowns.
Responsibilities:
- Work under the direct supervision of the dentist or hygienist.
- Perform a variety of patient care, office, and laboratory duties, including but not limited to providing chair-side assistance while dentist/hygienist examine and treat patients.
- Ensure patients are as comfortable as possible in the dental chair, prepare them for treatment, and obtain their dental records.
- Hand instruments and materials to dentist and keep patients’ mouths dry and clear by using suction or other devices.
- Sterilize and disinfect instruments and equipment, prepare trays of instruments for dental procedures, and instruct patients on postoperative and general oral health care.
- Prepare materials for impressions and restorations, take dental x rays as directed by a dentist.
- Obtains alginate impressions for diagnostic and/or intra-oral appliances.
- Handle other radiological equipment and assist patients with these procedures as directed by the dentist.
- Perform office duties as needed including: answering phones, scheduling appointments, receiving patients, and keeping treatment records.
- Ordering dental supplies and materials.
- Assist in specialty areas such as oral surgery, perio, and prosthodontics, and restoring dental implants.
- Support and assist the hygienist as needed with charting, keeping supplies stocked in treatment rooms, and sanitizing treatment rooms.
- Help track the inventory of supplies and keep the storage areas organized.
- Other responsibilities may include sophisticated functions such as removing sutures.
- Other duties as assigned by dentist or office manager.
Experience:
- Certified as a Dental Assistant a plus.
- Two years of Dental Assistant experience preferred, but willing to train.
- X-ray certification required.
- Must be computer literate. Able to use software applications such as Dentrix, iTero Scanner, Planmeca CBCT X-ray machine.
- Dental implant experience desired.
- Must be reliable, work well with the team, and have good manual dexterity.
- Must have current certification in cardiopulmonary resuscitation
- High School Diploma or GED required.

Dental Hygienist
We are looking for someone who takes pride in their work and is compassionate and caring with the patients. Must have 5-star customer service skills and be an exceptional communicator and be able to effectively educate patients.
Summary: Completes treatment of patient’s oral and periodontal care including patient education by performing the following duties.
Duties and Responsibilities include the following. Other duties may be assigned.
- Provides oral or written pre-operative and post-operative treatment instructions.
- Reviews patient charts prior to appointments, updates health histories and documents blood pressure and other information that may affect treatments.
- Provides periodontal treatments to include scaling, root planning, curettage, periodontal charting and polishing.
- Provides treatment for adult and children prophy’s which may include but not limited to – exams, radiographs, prophy’s, fluoride, and sealant.
- Administer local anesthesia with directions from the doctor.
- Promotes exceptional dental care by providing periodontal health education through demonstration and appropriate literature regarding patients’ oral health needs and scheduling them for this treatment.
- Documents services rendered and other related information in patients’ charts following each appointment.
- Charts necessary future dental treatments as dictated by the Doctor during examinations.
- Responsible for proper upkeep of operatory equipment at all times including but not limited to:
– general cleaning
– sharpening and sterilizing hand instruments
– disinfecting operatories between appointments
– cleaning and maintaining equipment related to daily functions (i.e. sterilizer, autoclave). - Cleans treatment areas at the end of each day to include flushing the evacuation system, emptying trash and preparing treatment rooms for the following business day. Remains aware of supply/stock levels available in the office, and communicates effectively with co-workers to place orders.
- Provides support to office personnel when primary responsibilities are completed including but not limited to:
– setting and confirming appointments and/or filling schedule
– electronically filing patient charts
– checking in with Doctor/Business Manager
– maintaining a clean work environment. - Follows all company policies and procedures paying special attention to patient care and safety.
- Communicates effectively with a diverse group of clients.
- Maintains proper knowledge of HIPAA compliances and clinical skills.
- Provides quality customer service.
- Acts as a team player.
- Completes continuing education units as required for licensure.
Education/Experience:
Associate’s degree or equivalent from two-year college or technical school.
